Medical Equipment Installation Checklist: Is Your Site Ready?

Updated 14 October 2026 · 4 min read

A medical equipment installation checklist saves weeks of delay, because most installation problems are site problems found on the day the crate arrives. This guide sets out what a UAE hospital or clinic should confirm before delivery: ceiling structure, electrical supply, medical gases, radiation shielding, network and IT, access routes and documentation. It uses ceiling pendants, suspension systems and an X-ray room as practical examples.

Start with the supplier's site requirements

Ask the manufacturer or distributor for a pre-installation document for each device. It lists dimensions, weights, power, cooling, floor and ceiling loads, services connections and clearances. Compare it with the room data sheet and drawings, and have the contractor and the biomedical engineer sign it before work starts.

Agree who does what. Civil works, electrical connection, gas outlets, shielding and network cabling normally belong to the facility's contractors, while mounting, alignment and commissioning belong to the supplier's engineers. Write the split into the contract. See our guide to medical equipment planning and room data sheets for the format.

Ceiling-mounted equipment installation

Ceiling pendants, surgical lights and suspension systems hang from a structural support, and the ceiling void must carry their load with a safety margin. Have a structural engineer confirm the anchor points before you order. Products such as Lojer Solido medical pendants are always built to order, with RAL colour options, so layout, arm lengths and services must be settled early.

Sim.FLEX suspension systems carry lights and monitors on one central axis, with up to four arms, and the modular design can be extended after installation, so ask your supplier how the support is sized for future arms. Confirm ceiling height, clearance from air supply diffusers and the position of other fixtures.

  • Structural plate or frame with engineer sign-off
  • Ceiling height and clear swing radius
  • Position relative to table, air supply and other lights
  • Routes for power, data and gas to each pendant

Power, earthing and medical gases

Confirm supply capacity, circuit separation, emergency or UPS supply where required, and the earthing and equipotential bonding arrangement for the medical location. IEC 60364-7-710 and local regulations govern medical locations; your electrical designer should apply the current local rules. Label breakers by room and device.

For pendants and ceiling units, gas outlets must be connected, tested and certified before equipment is mounted. Follow ISO 7396-1 practice for pipeline systems and have the gas installer provide test reports. Check air-conditioning capacity, because some equipment generates substantial heat.

X-ray room pre-installation requirements

An X-ray room needs more preparation than most. For a table-based system such as the Villa Apollo DRF, whose focus-detector distance reaches up to 180 cm, the room must provide enough floor area, height and clear access for the table, tube support and control area.

Radiation shielding has to be designed by a qualified specialist and approved by the competent UAE authority before use; confirm the current process with the authority. Plan floor strength and levelling, cable ducts, door width, warning lights and interlocks, room temperature and humidity, and a dedicated power supply.

Network, IT and access routes

Imaging and many OR systems need a network connection to PACS, RIS or a hospital information system. Agree IP addressing, DICOM settings, security rules and who supports the connection before installation day. Test cabling and switch ports in advance.

Walk the delivery route from the loading bay to the room. Measure doors, corridors, lifts and turns against the packaged size and weight, and reserve the lift. Plan storage for crates, protection of floors and walls and removal of packaging waste. Our delivery service covers transport planning.

Final checks and handover to commissioning

Before the supplier arrives, confirm that dust-generating works are finished, the room is clean and dry, services are live, access is controlled and a named person from your side is present. After mounting, proceed to testing as described in our commissioning and acceptance testing guide. Beckfinity's installation team will review your site requirements on request.

Frequently asked questions

What is included in a medical equipment installation checklist?

Structural support, power and earthing, gases, HVAC, shielding, network, access routes, delivery logistics and documentation.

Who is responsible for site preparation?

Usually the facility and its contractors prepare the site, while the supplier installs and commissions the equipment. Write the split into the contract.

Do ceiling-mounted units need structural checks?

Yes. A structural engineer should confirm anchor points and ceiling load before ordering.

What are pre-installation requirements for an X-ray room?

Shielding approved by the authority, floor strength, space, power, cable ducts, warning signs, environment control and network.

How early should site preparation start?

As soon as the order is confirmed, because civil, electrical and gas works often have the longest lead times.
