How to Negotiate a Medical Equipment Maintenance Contract

Updated 14 October 2026 · 4 min read

A medical equipment maintenance contract defines who keeps your devices safe and available after the warranty ends, and at what cost to the hospital. In the UAE the choice usually lies between an annual maintenance contract (AMC) and a comprehensive maintenance contract (CMC). This guide explains what each normally covers, which clauses decide the real value, and how to compare offers fairly.

AMC and CMC: the basic difference

Definitions vary by supplier, so always read the scope rather than the label. In general an AMC covers scheduled preventive maintenance and labour for corrective visits, while spare parts are charged separately or capped. A comprehensive maintenance contract adds parts and often the replacement of expensive components, so the hospital carries less financial risk, at a higher contract value.

Neither type is automatically better. A simple, low-risk device such as a suction unit may suit an AMC. A high-value imaging or surgical system whose single failure could stop a department often justifies comprehensive cover. See our guide to preventive maintenance of medical equipment for how visit frequency is set.

What a good scope should list

A contract should name every asset by model and serial number, and state precisely what is in and out. Look for these items, and make sure the same list is used when you compare offers.

  • Preventive maintenance visits per year and what each visit includes
  • Corrective visits: labour, travel and out-of-hours work
  • Spare parts: included, capped or charged, and genuine-part requirement
  • Software updates, calibration and electrical safety testing
  • Consumables and accessories: usually excluded, so list them
  • Operator training and application support

Uptime, response times and spare parts

Response time and uptime are where the contract produces value. Define the maximum time to respond by phone, to be on site and to restore function, and separate critical from non-critical assets. If an uptime percentage is offered, state how it is measured and what happens when it is missed, for example extended cover or a loan unit.

On parts, ask where stock is held, typical lead times for the major components, and what the supplier does if a part is discontinued. The same questions apply to replacement parts and warranty, which Beckfinity handles for the brands it distributes. Clarify whether detectors, tubes, lamps, batteries and similar wear items are included, because these drive cost.

Warranty versus service contract

Warranty is the manufacturer's obligation for a defined period after acceptance and normally covers defects in materials and workmanship. It rarely covers misuse, consumables or routine preventive maintenance. Start the contract on the day warranty ends, or negotiate a combined package, and write the start date into the document.

Check what voids the warranty, for instance servicing by an unauthorised party, and whether the contract holder is authorised and trained by the manufacturer. This matters when you consider independent service companies; our overview of maintenance companies in the UAE lists what to ask them.

Clauses to negotiate

Beyond scope and response, negotiate term and renewal, annual price adjustment limits, reporting after every visit, escalation contacts, liability, replacement equipment during long repairs, end-of-support notice and handover of service documentation if the contract ends. Ask for service reports that you can import into your maintenance records.

Evaluate offers on lifecycle value, not only the annual figure; the method is covered in our total cost of ownership guide. Facility licensing and accreditation expect evidence that equipment is maintained, so keep contracts and reports organised.

Request service terms

Frequently asked questions

What is the difference between AMC and CMC for medical equipment?

An AMC usually covers preventive maintenance and labour, with parts separate or capped. A CMC adds parts and often major components. Always check the written scope.

Does a maintenance contract include spare parts?

It depends on the type and the exclusions. Ask for a list of included and excluded parts, and for lead times.

When should the service contract start?

Normally when the warranty ends, or as a combined package. State the date in the contract.

Can a third-party company service our equipment?

Possibly, but check manufacturer authorisation, training, genuine parts and the effect on warranty.

What uptime should we ask for?

It depends on criticality. Define how uptime is measured and the remedy if it is not met rather than copying a single figure.
