How to Request and Compare a Price Quote for Medical Equipment

Updated 14 October 2026 · 4 min read

A price quote for medical equipment is only comparable if every supplier prices the same scope. Hospitals in the UAE often receive offers that differ in accessories, installation, training and service, which makes the lowest figure misleading. This guide shows how to write a request for quotation (RFQ), which lines a like-for-like quote must contain, and how to compare responses without being distracted by a headline number.

Start with a clear request for quotation

An RFQ is a written request that tells suppliers exactly what you need and how they should answer. State the clinical purpose, the room or department, the quantity, the delivery site and the required date. Attach the room data sheet or a floor plan when installation matters. The clearer the request, the fewer assumptions each supplier makes.

Ask every supplier to answer in the same table, line by line, and to mark any deviation from your specification. This turns a stack of brochures into a document you can score. For technical wording, see our guide to specifications for a tender.

Lines every like-for-like quote must contain

A complete offer separates what the device is from what it needs. Require each of the following as its own line so that nothing hides inside a package.

  • Exact model, software version and configuration, with the manufacturer's part numbers
  • Standard accessories and optional items, each listed
  • Installation, commissioning and acceptance testing
  • Training for operators and for biomedical staff
  • Warranty duration, what it covers and exclusions
  • Service offer after warranty and response times
  • Consumables and spare parts needed in the first year
  • Delivery terms, packaging and who clears customs
  • Validity period of the quotation and payment terms

Price list, catalogue and budgetary quotes

People often search for a medical equipment price list or a hospital equipment price list. Public lists are usually indicative: final scope depends on configuration, options, volume and currency. Use a budgetary quote for planning and a formal quotation for ordering, and label them differently in your files.

A budgetary quote can help prepare a capital request, but it is not binding. Ask the supplier to confirm which lines would change if you add or remove options, so the budget has a margin you can explain.

How to compare responses

Build a comparison sheet with one row per requirement and one column per supplier. Score technical compliance first, then commercial terms, then service. Then calculate the cost across the life of the device rather than only the purchase; the approach is in our total cost of ownership guide.

Check that each offer names the registered manufacturer, that the device is registered or can be registered for the UAE, and that CE or equivalent documents are available. Our note on CE marking and the EU MDR explains what to ask for. Confirm requirements with the relevant UAE authority.

Common mistakes

Frequent errors include comparing quotes with different accessories, accepting verbal promises not written in the offer, forgetting installation works such as ceiling reinforcement or power, ignoring the cost of consumables and not checking the validity date. Also avoid sending the RFQ to many suppliers without a shortlist, which wastes everyone's time.

When you work toward a formal process, align the RFQ with the steps described in the tender process in the UAE.

Ask Beckfinity for a quotation

Send Beckfinity your specification or room list and we will return a structured quotation with configuration, installation, training, warranty and service shown as separate lines, so you can compare it directly with other offers.

Frequently asked questions

What should a quotation for medical equipment include?

Model and configuration, accessories, installation and commissioning, training, warranty, post-warranty service, consumables, delivery terms, validity and payment terms.

Is a medical equipment price list reliable?

It is indicative. The final scope depends on configuration, options and quantity, so request a formal quotation.

What is the difference between RFQ and tender?

An RFQ usually asks selected suppliers for a priced offer on a defined scope. A tender is a more formal process with documents, evaluation criteria and rules.

How many quotations should we request?

Enough to compare fairly, often three, drawn from a shortlist of qualified suppliers.

Should we accept the cheapest quote?

Only after confirming the scope is identical and the service, training and warranty are included.
