CSSD checklist: daily tasks, SOPs and the records auditors expect

Updated 14 October 2026 · 4 min read

A CSSD checklist turns sterile processing from habit into evidence, and evidence is what accreditation auditors such as JCI examine. This guide lists the daily and weekly checks, the SOPs a department should hold, and the forms and logs, from load records to instrument tracking, that make every sterile set traceable.

Daily CSSD checklist: start of shift

A cssd daily checklist begins before the first load. Check the temperature and humidity of the clean areas, confirm that decontamination, packing and sterile zones are separate and tidy, and verify that water supply and steam pressure are normal. Inspect the washer-disinfectors and steriliser chambers, door gaskets and drain strainers, and record any fault before running cycles.

Run the air-removal test on prevacuum steam sterilizers each day before the first processed load, as described in the Bowie-Dick test explained. Confirm that chemical indicator stocks are in date and that detergents and lubricants are the approved products. Sign the sheet; an unsigned checklist is treated as not done.

SOPs every CSSD should hold

Policies should be written, controlled and version-numbered. Typical documents cover transport and receipt, cleaning and disinfection, inspection and packing, sterilization cycles and load release, storage and handling, recall, and staff training. Each SOP states purpose, scope, responsible role, steps, records and references to the manufacturer's instructions.

Link these to the manufacturer's instructions; see IFU in sterile processing for how to manage them, and instrument reprocessing steps as a baseline for the sequence.

  • Point-of-use treatment and transport of used instruments.
  • Manual and automated cleaning, with lumen instruments.
  • Inspection, assembly and packing, including container checks.
  • Sterilization, monitoring and load release.
  • Sterile storage, shelf life and distribution.
  • Product recall and incident reporting.

Records: load logs, validation forms and registers

Typical records include the cssd register format for incoming and outgoing sets, the sterilizer load log (date, load number, cycle, operator, contents, indicator results), the autoclave validation form for daily tests and periodic validation, washer test records, maintenance and calibration certificates, and incident reports. Every sterile pack should carry a load number so it can be traced to a cycle and to the patient where required.

An instrument tracking log, whether paper or electronic, records which set went to which case, and allows recall if an indicator later proves doubtful. See surgical instrument tracking systems for options. Keep the forms uniform across shifts and retain them for the period set by your policy and local regulation.

Weekly, monthly and annual checks

Weekly tasks can include biological indicator tests, cleaning verification and washer-disinfector checks, with deeper cleaning of the department and trolleys. Monthly, review filter and gasket condition on containers, calibration status of thermometers and gauges, stock rotation and training attendance. Annual items include revalidation, preventive maintenance of equipment and competency reviews.

For rigid containers such as REDA sterilization containers, add a routine inspection of seals, locks and filters per the manufacturer's instructions and log any replacements. This links container condition to the load record.

Preparing for a JCI-style audit

Auditors usually trace a single sterile item backward: from the point of use to the load record, indicator result, cycle printout and operator, and forward to the patient. They also look for evidence that staff are trained, that a failed indicator was acted on, and that equipment is maintained. Practise this trace internally each quarter.

Common findings are unsigned forms, expired indicators, missing printouts and gaps in recall drills. Confirm local licensing and accreditation requirements with the relevant authority and your accreditation body. Beckfinity can support your department with equipment and containers that fit a documented workflow.

Frequently asked questions

What should be on a CSSD daily checklist?

Environmental checks, equipment inspection, the daily air-removal test, indicator stock check, approved chemicals, and a signed record of any faults before the first load.

What goes into a CSSD register format?

Date, set name, source department, receipt time, processing steps, load number, release status and operator initials, as set by your policy.

How long should CSSD records be kept?

As long as your policy, accreditation body and local regulation require. Confirm the retention period before setting your SOP.

What does an autoclave validation form record?

Date, steriliser ID, test type and result, cycle printout reference, operator and corrective action if any test fails.
