X-ray machine service: preventive maintenance schedules, checks and contracts

Updated 14 October 2026 · 3 min read

X-ray machine service is what keeps image quality, dose and uptime predictable over the life of a DR or fluoroscopy room. Most serious failures are preceded by signs that a planned inspection would have caught, and a room that is down costs a hospital far more than the service contract that could have prevented it. This guide explains how to structure preventive maintenance, what engineers check, how to compare service contracts and what to ask a supplier for Villa and Perlove systems.

Why preventive maintenance matters

Preventive maintenance reduces unplanned downtime, protects image quality and helps keep exposures consistent. It also gives you documented evidence for audits and for manufacturer warranty conditions. Corrective repair is still needed, but it should be the exception; troubleshooting is covered separately in X-ray machine repair and troubleshooting.

Plan maintenance by equipment type. A fixed DR room, a remote-controlled fluoroscopy table and a battery-powered mobile unit have different wear points, so ask the manufacturer for the maintenance schedule of the exact model.

Preventive maintenance for X-ray: what engineers check

A typical preventive visit covers mechanical movement and brakes, counterbalance and cables, table and bucky operation, the collimator light and field alignment, generator performance and calibration, tube warm-up procedures and the condition of high-voltage cables. Engineers also check safety interlocks, emergency stops and electrical safety, verify image quality with test objects and review the error logs.

For digital systems the visit includes detector care and calibration, workstation updates, backup of settings and checks of the DICOM connection. See flat panel detector care and calibration and tube replacement for the two components that most affect uptime.

Daily, monthly and annual tasks

Maintenance is split between users, in-house biomedical engineers and the manufacturer or authorised service. Users perform simple daily checks and cleaning; the biomedical team handles routine inspections; the authorised engineer performs calibration and parts replacement according to the maintenance manual.

Keep a service file for each unit and log every visit, fault and replaced part. The list below is a practical split:

  • Daily: visual check, cleaning, tube warm-up as required, check cables, brakes and battery charge on mobile units
  • Monthly: collimator and bucky checks, image quality review, backup, review of rejected images
  • Annual or per manual: full inspection, calibration, safety tests and dose output verification

Quality control, infection control and records

Maintenance is not the same as quality control. QC measures performance, such as dose output and image quality; maintenance restores and protects the machine. Both should be scheduled together and recorded; see X-ray quality control tests. Cleaning procedures are also part of daily care; read cleaning and infection control for X-ray equipment.

Keep records ready for inspections by the health authority in your emirate and the radiation regulator, and confirm which records they expect. A tidy service file with dates, findings, replaced parts and test results also helps when you plan replacement or upgrade of an ageing unit.

Comparing service contracts and next steps

When you compare contracts, check the scope (parts, labour, tubes and detectors), response and repair times, remote support, spare-parts availability, loaner policy, software updates and whether preventive visits are included. Ask for the contract terms in writing and compare them on the same sheet.

Frequently asked questions

How often should an X-ray machine be serviced?

Follow the manufacturer's schedule for the model. Many sites schedule at least one full preventive visit per year plus routine in-house checks.

What does preventive maintenance include?

Mechanical, electrical and safety checks, calibration, image quality verification, software and backup tasks, and review of logs.

Is maintenance the same as quality control?

No. Maintenance keeps the machine in good condition; quality control measures its performance. Both should be recorded.

What should a service contract state?

Scope, response and repair times, parts and detector coverage, remote support, software updates and preventive visit frequency.
